If you run Nextcloud for a team or a small business, the hard part is rarely the install. It is deciding which apps actually belong on the instance. The App Store has hundreds of entries, and every new major Nextcloud release makes you re-check what still works. This guide takes a different route: pick apps by the goal you are trying to reach, then confirm compatibility before you commit.
We will walk through six goals — onboarding users, earning money, security, documents, media and sharing — and point out where a well-known App Store app does the job and where one of our own apps fits. The MediaLab apps covered here are available together through the Nextcloud bundle, which unlocks all of them on one instance with a single key.
Before you start
The bundle covers Nextcloud apps only. Our Emby and Jellyfin plugins have their own bundles, so do not expect one key to span both worlds.
You will need:
- A working Nextcloud instance you administer, with access to the app management area.
- A decision on which apps you actually want. You install only the apps you need; the bundle key works in each of them.
- A way to test before rolling out to real users. The bundle includes a free 30-day trial that unlocks all Nextcloud apps, which is the sensible way to evaluate the set on your own hardware.
Step 1: Pick your goals, then check Nextcloud 35 compatibility
Write down the goals in priority order. For most self-hosted business clouds the list looks like this:
- Onboarding — how do new users get accounts?
- Earning — do you charge for accounts or services?
- Security — what limits who can upload or register what?
- Documents — how are files organized and presented?
- Media — how do people browse video libraries?
- Sharing — how do you hand out links safely?
Before installing anything, confirm that each candidate app supports Nextcloud 35. Check the app's listing in the App Store for its declared Nextcloud compatibility, and check the app's own documentation. If an app has not been updated for your major version, leave it out rather than discovering the problem after onboarding a team.
Step 2: Onboarding — Sign-up and IDRegister
Self-registration is the first thing most admins need and the first thing stock Nextcloud makes awkward. Sign-up handles self-registration so users can create their own accounts instead of you creating them by hand. IDRegister is the companion app for the registration flow.
Install both if you want users to arrive on their own. If you only want invitations, skip this step entirely — the bundle does not force any app on you.
Step 3: Earning — Cashier
If your cloud is a paid service, Cashier handles the billing side. The important detail for admins is how it behaves with Sign-up: the two work well together in the bundle. You get free and paid self-registration on the same page, accounts are activated after payment, and accounts are suspended — never deleted — when an invoice stays unpaid.
That last point matters more than it sounds. Suspension keeps the data in place, so a customer who settles the invoice gets their account back rather than a support ticket about lost files.
Step 4: Security — Sentinel and Allowed file types
Two apps cover the security goal from different angles.
- Sentinel is our security app for the instance.
- Allowed file types restricts which file types are permitted, which is the practical control when users can upload on their own.
Install Allowed file types before you open registration to the outside. Pairing it with Sign-up and Cashier means new accounts arrive with a defined upload policy from day one instead of after an incident.
Step 5: Documents and media — Document sorter and Video Gallery
Document sorter helps keep documents organized. Video Gallery gives your video files a gallery view rather than a plain file list.
Both are presentation-layer apps: they change how people experience content that is already in Nextcloud. That makes them low-risk to trial. Enable them on a test account, upload a representative sample of real files, and look at the result before enabling them instance-wide.
A note on scope: our products are for legal, self-hosted media — content you own or are licensed to use. Video Gallery is a viewer for your own library, not a front end for anything else.
Step 6: Sharing — Shortcloud
Shortcloud covers the sharing goal, giving you short share links instead of long generated URLs. If you hand out links to clients or colleagues regularly, this is the app that removes the copy-paste-and-hope step.
Step 7: License the whole set with one key
The practical advantage of the bundle is administrative, not just financial: one key, all current Nextcloud apps on one instance. You do not track eight separate licenses or wonder which app's key expired.
A few rules from the documentation worth knowing before you buy:
- Licenses are available monthly, yearly or lifetime, with the same rules as individual licenses.
- New Nextcloud apps we publish are included while the subscription is active. With a lifetime license, new apps are included within its update window.
- The trial runs 30 days and unlocks all Nextcloud apps, so you can validate compatibility on Nextcloud 35 with your real data first.
See the Nextcloud bundle product page for the current details, and the knowledge base for setup notes on the individual apps.
Tips and troubleshooting
An app will not enable after a Nextcloud upgrade. Check its declared compatibility with your major version first — this is the most common cause after a release like Nextcloud 35. If it is not declared compatible, disable it and wait rather than forcing it.
Registration works but uploads are rejected. That is usually Allowed file types doing its job. Review the permitted list rather than disabling the app.
A paying customer lost access. Check whether the account is suspended rather than deleted. Suspension is the intended behavior when an invoice stays unpaid, and it is reversible.
You want free and paid sign-ups side by side. Sign-up and Cashier are designed to work together in the bundle; set both up before you announce registration.
You only need one or two apps. Install only those. The bundle key works in each app you enable, and nothing forces you to run the rest.
You are also running Emby or Jellyfin. Remember that the Nextcloud bundle does not cover those plugins; they have separate bundles.
Conclusion
Choosing Nextcloud apps by goal keeps the instance small and the decisions defensible: onboarding, billing, security, documents, media and sharing each get one or two apps that earn their place. Check Nextcloud 35 compatibility before you install, trial the set on real data, and license it all with a single key through the Nextcloud bundle. If something does not line up with your setup, the FAQ and contact page are the next stops.
